Using the digital sender

Introducing the digital sender

The HP color network digital sender (DS) helps you quickly and conveniently distribute paper documents in electronic format.  It can work with other devices and programs so you can:

  • E-mail -- send documents directly to the Internet e-mail destinations.
  • Fax -- fax a document to one or more destinations.
  • Make copies -- make high-quality copies by sending a document to a network printer.
  • Send to you computer -- send a document to you computer where you can file documents, search for text, and add text notes. You can also send documents to e-mail, fax, print, and more.
  • Send to another program -- send a document to a network folder so the document is available to a program on the network.

The supplementary HP Address Book Manager (ABM) is a useful program on your computer that manages fax and e-mail destinations you use at the digital sender.  The HP Digital Sender Link (Link) routes documents sent to your computer to the storage location.  The DS coexists with other HP products without conflicts.

Other advantages of the digital sender:

  • Text, graphics or photos can be sent in black and white or full color.
  • The DS minimizes file size while optimizing quality.
  • Near-original quality means no time is wasted trying to decipher or resend faxes.
  • Recipients can store, print or forward the file with no deterioration of quality.
  • Confidentiality is assured with delivery direct to the recipient's desktop.
  • Sending to multiple recipients is quick and simultaneous - with a push of a button.
  • Using the DS is free for the EdPA faculty members - so reduce your overnight mail, courier and long-distance fax charges.

How to use the digital sender

Loading the document

  • Raise the upper part of the DS (the ADF unit) and ensure nothing is on the glass.  Then, close the ADF unit.
  • Slide the document (up to 50 pages) face up, top first, into the ADF until the document stops. Center the document between the document guides.
  • Adjust the document guides to fit snugly against the sides of the stack.

Now you are ready to log in to the DS system before you send out the document.

Logging in to the DS system

  • At the DS login screen, type your registered user name in the NAME field and press the arrow symbol key 8.
  • Type in your password in the PASSWORD field, shown on the screen.
  • Press the arrow symbol key 8 once again.

Once you are logged in as a registered user, you have access to the control panel functions, the public address books, and your private address books.  You can also access more detailed activity log information using the ABM at your computer.

Sending documents to e-mail recipients

  • After you load the document and logged in, press E-Mail.
  • Type in your user name or your e-mail address in the FROM field if it is not already entered.
  • Press the arrow symbol key 8.
  • Type your password in an open dialog box and press the arrow symbol key 8 once again.
  • Type a message in the SUBJECT field (optional) and press the arrow symbol key 8.
  • In the TO field, type an e-mail address. Press the arrow symbol key 8.
  • The e-mail address, preceded by "To:", appears in the window below the TO field.
  • To copy the mail to someone:
    • Press To. Press q to select CC and press Ok.
    • In the CC field, type an e-mail address or choose an e-mail destination from an address book.
    • Press the arrow symbol key 8. The destination, preceded by "CC:", appears in the window below the CC field.
  • Press ¯. The document goes to the e-mail destination you chose.
